Today, the VTJ team will provide an effective, step-by-step guide on the process of recruiting foreign teachers, along with some legal issues related to the process.
1. Review teacher profile
There are two steps that require specific documents n the full foreign teacher recruitment process, they are step 1 and step 5.
How to do it:
– Job postings
– Select the profile that matches the requirements about accents, nationality, level of education, degrees…
– Confirmation of suitable candidates for the interview round
– Conducting a demo lesson for the selected candidates
Document Requirements
– CV/Resume
– Bachelor’s Degree/Master’s Degree
– TESOL / TEFL, pedagogical certificate 120 hours or more
– Recommendation letter (letter of recommendation) / experience letter (certificate of experience – if any)
– Short self-introduction video or demo teaching video
– Passport (passport)
– Criminal record that’s valid for 6 months
– Current visa status
2. Appointment for an interview
Choose a few reasonable time frames for both parties when recruiting foreign teachers (It should be about 3-time frames to create flexibility when the two sides set up the interview). After both sides confirm the suitable time frame, send the teacher an email with details of the interview schedule. Consists of:
– Name of Teacher, date and time of the interview
– Interview location (or application to be used)
– Contact of the interviewer/contact person information.
– Content to be exchanged
Some note:
– If you are interviewing online, you should check and test the interview software carefully 1 day before the interview to make sure that both parties will not have problems with the microphone/camera.
– Check the information on the resume before the interview & should not ask for the same information (Except to verify the information on the CV)
– Usually, when recruiting foreign teachers, we notify the teacher to come 5-10 minutes before the interview if interviewing at the office, and at the same time remind the interview schedule 1 day in advance to ensure that the teacher is present at the interview as agreed.
3. Interview day
– Prepare a professional space for the interview (quiet room, no distractions for the two parties to focus best)
– Observe the teacher’s posture, appearance, voice, and attitude through interview and exchange questions
– A deeper discussion about experiences, set situations => listen to the teacher’s solution on scenarios
– Observe and evaluate their accent and manner
– Ask about the teacher’s possession of the necessary documents to do the Work Permit/Visa in the future (Is the document legalized/when will it be legalized; police check), current visa status… )
– Discuss their salary expectations, specific bonuses (Housing, moving if any, work permit fee, visa- if possible), the position’s working schedule and start date…
– After the exchange is complete, schedule a date for the teacher to send feedback, usually 1-2 days.
– Send an official email to announce the candidate no matter what the result is, to show professionalism.
– If passed: Send an announcement email & arrange a demo session
– If failed: Thank you for your participation & time for the interview & see you another time
4. Demo teaching
When preparing for a demo lesson in the process of recruiting foreign teachers:
– Send an email about the information they need to know to get prepared for the trial lesson
– Level/age of the student
– Time
– Demo information
– Demo duration
– Participants
– Target learners
– Lesson content
– Evaluation Criteria
– Teaching platform
For Online demo: Teachers will prepare teaching tools for the demo by themselves (white board, chalk or markers,..)
For Offline: TT/School prepare projector, board, pens, etc for the demo session
– Pay attention to the time for the demo session, it should not be too long compared to the scheduled duration.
– At the end of the demo, thank the candidate & schedule official feedback, usually after 1-2 days.
The final step of the foreign teacher recruitment process is to give feedback to the teachers after the demo.
Feedback after the demo:
– If passed: Notify & discuss the official offer and contract => When both parties confirm, start the necessary documents to prepare the relevant procedures: Sign the contract, make a work permit.
– If failed: Thank you for your participation & time for the Center/School; state the reason why it is not suitable (should not be too heavy, just let the teacher know why they are not accepted) & make an appointment for another occasion in the near future.
Ask the Teacher to provide documents or start legalizing the necessary documents to complete the procedures when they start to teach at the Center/School:
- Degree (Bachelor’s Degree/Master’s Degree)
- Certificate of TESOL, TEFL
- Passport
- Recommendation letter (if any)
- Police check
- Health check certificate
- Hopefully, with the above-detailed guide on the recruitment process for foreign teachers, VTJ can help recruiters in successfully finding qualified candidates for teaching English in Vietnam in the most effective way.
